Fit-Out Project Management by UPM

The best way to manage projects is not to manage them at all. Because honestly… chaos was doing a better job than me.

Not because chaos is brilliant but because some stakeholders make it unstoppable. They want speed… without approvals. A fixed budget… with flexible scope. Full control… with zero accountability. And when everything starts slipping? That’s when project management suddenly becomes “important.” Project management is invisible when done right and blamed loudly when ignored. If you hired a PM… use the PM. Otherwise you didn’t hire project management you hired a witness. What’s the most “chaotic” stakeholder line you’ve heard on a project?

Suddenly, the Project Manager becomes the most popular person on site.

When a project struggles, some clients develop "a temporary memory loss" around: The approval log that turned into a novel The “urgent” decisions that took two weeks and three committees The budget that stayed “fixed”… while the scope stayed “creative” The payment that arrived late, and somehow still expected progress on time The phrase: “Proceed for now, we’ll confirm later.” (Which is basically a project’s way of requesting early retirement)Not because we are needed. On the other side, when delivery goes off-track, some contractors forget: The wrong sequence of works that created rework The “we already ordered it” material… ordered before approval The quality issues that required fixing twice The delays caused by poor planning, weak supervision, and slow coordination The communication style that’s basically: “Yes boss done” (…followed by silence, followed by surprise on site) A Project Manager Is Not a Shield Many people hire a PM like they’re buying insurance: “If something goes wrong, we’ll claim against them.” But the PM isn’t there to absorb responsibility. The PM is there to create structure, coordination, and control. That only works when everyone plays their role: Client: decide, approve, pay on time, stay aligned Contractor: plan properly, execute correctly, communicate honestly Consultant / Designer: issue clear information, respond fast, support decisions PM: integrate all of it, track it, report it, push it forward, and manage risk

Managing uncertainty in fit-out projects – UPM Project Management

Project management doesn’t remove uncertainty. It stops uncertainty from turning into chaos + claims.

Lead times become “estimated” (which is a polite word for “maybe”). Costs move mid-procurement, not mid-year. Risks become active issues and they don’t care about your handover date. And when things start slipping, the classic line appears: “PM, why is this delayed?” Because the project can’t run on hope, WhatsApp messages, and pending approvals. Why Project Management Matters More Right Now In stable times, PM is about planning and control. In difficult times, PM is about options and speed: locking priorities early (what must be ordered now) building Plan B before Plan A fails aligning stakeholders fast (one direction, one decision-maker) keeping scope changes honest (not disguised as “small adjustments”) protecting quality (because rework is the most expensive material on the market) Project management doesn’t remove uncertainty. It stops uncertainty from turning into chaos + claims. The Simple Truth Projects don’t get stuck because of situations. They get stuck because decisions are slow and accountability is shared. If you want the project to move forward in difficult times: Engage the PM, commit to decisions, and act as one team. Because in the end, teamwork isn’t a slogan it’s a delivery strategy.
